Terms & Conditions
Booking Terms & Conditions
Thank you for choosing Natural 20 Tours. These Terms & Conditions outline the agreement between you (the “Traveller”) and Natural 20 Tours, a trading name of Keith Kelly regarding your booking.
1. Booking & Acceptance
You must be at least 18 years old to make a booking. If you book for other travellers, you confirm that you have authority to do so and to accept these Terms & Conditions on their behalf. Please ensure they receive a copy.
These terms will be available before you submit your booking and payment. A contract exists once we confirm acceptance of your booking in writing. We will provide your booking details and the applicable terms by email or another format you can save.
Acceptance of your booking does not itself confirm that your gaming table or tour will go ahead. The minimum numbers and written confirmation arrangements in section 7 apply.
Travellers under 18 must be accompanied by a responsible adult, and any age restrictions stated for the chosen tour or activity also apply.
2. Pricing & Inclusions
Tour prices are quoted in Euros (€) unless stated otherwise. Any alternative payment currency and the amount payable will be shown at checkout before you authorise payment.
Your package includes only the accommodation, ground transport, activities, meals and other services expressly listed as included in the tour description and itinerary supplied for your booking. Exclusions and optional extras will be identified before you book.
The total amount payable, including mandatory charges and any applicable booking or payment-processing fees, will be shown before you make your first payment.
Once we confirm your booking, your agreed package price will not increase because of changes in supplier costs, taxes or exchange rates. Changes or extras you request may carry an additional charge, which we will explain and agree with you before proceeding.
If you choose to pay in another currency, the conversion terms shown at checkout apply. Your bank or card provider may impose separate charges as explained in section 4.
3. Payments & Deposit Schedule
To confirm your place, a deposit of 20% of the total tour price is required at the time of booking.
Your payment schedule, including instalment amounts and due dates, will be shown on the booking page before you make your first payment and included in your booking confirmation. The remaining balance must be paid according to that schedule.
Payment due dates are separate from cancellation charges. If you choose to cancel, the cancellation and refund rules in section 6 apply.
If we cancel your booked table or tour, you may choose a full refund of all payments made for your affected booking, including your deposit, later instalments, and any booking or payment-processing fees charged through our booking platform. Any alternative table or departure we offer is entirely optional. Linked non-playing companions will also have the transfer or refund options described in section 8.
Refunds will be paid without undue delay and no later than 14 days after the affected booking is terminated.
If a payment is late or missed, we will contact you in writing and give you a reasonable opportunity to resolve it before cancelling your booking.
4. Payment Method & Charges
Payments are made through our booking platform using the payment methods and currencies available at checkout.
The amount payable, payment currency and any applicable booking or payment-processing fees will be shown before you authorise payment. We will only apply charges permitted by applicable law.
Your bank or card provider may impose its own charges, including foreign-exchange charges. These are separate from fees charged through our booking platform.
Where automatic instalment payments are offered, the amounts, dates and payment authorisation will be explained before you agree to them.
Where you are entitled to a full refund under sections 3, 6,7 and 8, this includes booking and payment-processing fees charged through our booking platform. Charges imposed separately by your own bank or card provider are not automatically reimbursed. This does not limit your statutory rights.
5. Changes to Your Booking
Please request booking changes in writing as soon as possible. We will explain whether the change can be accommodated and any additional cost before you agree to proceed.
Changes such as a different room type or departure date depend on availability. Requesting a change does not itself cancel your existing booking. If we cannot accommodate your request, your original booking remains in place unless you choose to cancel under section 6.
Please tell us about dietary, accessibility or other special requirements as early as possible. We will discuss what can be provided and confirm any requirements we agree to meet in writing. Requirements already accepted as part of your booking will not be treated as a new optional extra.
You may transfer your booking to another person who meets all the conditions applicable to it by giving us reasonable notice in writing. Notice given at least seven days before departure will be treated as reasonable. Contact us about shorter notice and we will assess what is possible.
Any transfer charge will be reasonable and will not exceed the actual cost we incur. We will explain the amount and how it has been calculated. You and the person taking over your booking will each remain responsible for any outstanding balance and permitted transfer costs until these are paid.
Changes initiated by Natural 20 Tours are covered by section 8.
6. Cancellations by You
We understand that plans can change. If you need to cancel, please contact us as soon as possible. We will explain any available transfer options and any cancellation charge that applies.
Please submit your cancellation in writing using the contact details in your booking confirmation. Your cancellation takes effect when we receive it. We will acknowledge receipt, but your cancellation does not depend on our acknowledgement.
Unless you have a contractual or statutory right to cancel without charge, the following cancellation charges apply to the total tour price.
More than 180 days before departure — no cancellation charge and a full refund of all payments made, including booking and payment-processing fees.
Between 121 and 180 days before departure — 20% of the total tour price.
Between 46 and 120 days before departure — 50% of the total tour price.
45 days or fewer before departure — 100% of the total tour price.
Cancellation charges must be appropriate and justifiable, taking account of expected cost savings and income from reselling or otherwise using the cancelled services. We will explain the charge on request and reduce it where necessary. We will not add a separate cancellation administration charge.
Where unavoidable and extraordinary circumstances at your destination or its immediate vicinity significantly affect the performance of your package, or significantly affect passenger transport to the destination, you may cancel before departure without a cancellation charge and receive a full refund.
Any refund due will be paid without undue delay and no later than 14 days after your booking is terminated.
The customer cancellation charges above do not apply when we cancel your booked table or tour, or when you exercise another contractual or statutory right to cancel without charge.
If you choose not to use an included service once the tour has begun, we do not normally offer a refund for that service. This does not affect your rights where an included service is missing, changed or not provided as agreed.
7. Minimum Numbers and Confirmation
Each gaming table requires at least five booked players, and each tour requires at least 15 paying travellers. Non-playing companions count towards the tour minimum but not towards a gaming table’s minimum.
A table reaching its minimum does not guarantee that the tour will go ahead. Similarly, a tour reaching its minimum does not guarantee that every gaming table will go ahead.
We will confirm in writing whether your booked table and tour will go ahead no later than 120 days before departure. If you book after that deadline, we will provide their confirmation status before you pay.
To help a tour go ahead, we may ask players to join a different table with a different Game Master. Any move is entirely voluntary. If we cancel your original table or tour, the transfer and refund options in section 8 apply.
Please wait until we have confirmed both your table and your tour in writing before booking flights or making other separate travel arrangements. Reaching the advertised minimum numbers is not itself written confirmation.
Flights and other arrangements you book independently are outside your Natural 20 Tours package. We do not automatically reimburse these costs if your table or tour is cancelled. This does not limit any statutory right to compensation or other remedy.
8. Cancellations or Changes by Natural 20 Tours
We may make minor itinerary changes where necessary because of weather, safety or local conditions. We will notify you clearly in writing of any changes before departure.
If we need to make a significant change before departure, or cannot meet a special requirement we have accepted as part of your booking, we will explain the change, any effect on the price, your options and a reasonable deadline for your response. We will also explain what happens if you do not respond.
You may accept the proposed change or cancel without a cancellation charge. Where available, we may offer an alternative trip of equivalent or higher quality. Accepting an alternative is entirely your choice. If an accepted change or alternative reduces the quality or cost of your package, you will receive an appropriate price reduction.
If we cancel your booked gaming table, including because it has not reached its minimum number of players, but the tour is going ahead, you may choose from the following available options.
Transfer to a future tour with the same featured Game Master, provided that Game Master is participating and table space is available.
Join another available Game Master and table on the same tour.
Cancel your affected booking and receive a full refund.
Any non-playing companion booked to travel with an affected player may also choose a transfer to a future tour, subject to availability, or cancel their booking and receive a full refund.
We will explain the arrangements and any price difference before you agree to a transfer. We will not move you to another table, date or trip without your agreement.
If we cancel the entire tour before departure, you will receive a full refund unless you choose an alternative departure offered by us.
Full refunds under this section include your deposit, later instalments, and any booking or payment-processing fees charged through our booking platform for the cancelled booking. We will not deduct a cancellation or administration charge.
Refunds will be paid without undue delay and no later than 14 days after the affected booking is terminated. Your refund will not depend on us first receiving refunds from suppliers.
Flights, visas and other services you book separately are outside your Natural 20 Tours package. We do not automatically reimburse those costs. This does not limit any statutory right to compensation or other remedy.
Nothing in these sections limits your statutory rights.
9. Unavoidable and Extraordinary Circumstances
Events such as war, natural disasters, serious public health emergencies, strikes or government restrictions may affect a tour. These qualify as unavoidable and extraordinary circumstances only where they are beyond the control of the party relying on them and their consequences could not have been avoided even with all reasonable measures.
If these circumstances prevent us from performing your tour before departure, we may cancel it and will notify you without undue delay. You will receive a full refund under section 8. Your refund will not depend on us recovering money from suppliers.
You may also cancel before departure without a cancellation charge where these circumstances occur at your destination or its immediate vicinity and significantly affect your package, or significantly affect passenger transport to the destination. You will receive a full refund within 14 days after your booking is terminated.
Where cancellation meets these legal conditions, no additional compensation is payable for that cancellation.
If disruption occurs after the tour has begun, we will provide the assistance and remedies required by applicable package travel law. These circumstances do not automatically remove your rights to assistance, alternative arrangements or an appropriate price reduction.
Nothing in this section limits your statutory rights.
10. Travel Insurance
We strongly recommend taking out suitable travel insurance when you book. Insurance is recommended rather than a condition of joining the tour.
Check that your policy covers your destinations and planned activities, emergency medical treatment and repatriation, cancellation or curtailment, and lost or damaged baggage. Make sure it is suitable for your personal circumstances, including any medical conditions you need to declare.
Cover varies between policies. Check the exclusions, limits and excesses carefully, including cover for flights or other arrangements you book separately. Not every reason for cancelling will be insured.
Your travel insurance does not replace or reduce Natural 20 Tours’ obligations or your statutory rights. Any refund or remedy we owe you will not depend on you making an insurance claim.
11. Health , Accessibility, and Participation
Please review the activity and accessibility information for your chosen tour before booking. Contact us if you need more detail about walking distances, steps, uneven ground, transport access or other practical requirements.
Please tell us before booking about any accessibility needs, allergies or assistance requirements relevant to your participation. If these arise or change after booking, let us know as soon as possible. You do not need to provide unrelated medical information.
We will discuss your requirements individually, consider reasonable adjustments and explain any practical limitations. Any special requirements we agree to meet will be confirmed in writing as part of your booking.
Please seek advice from a qualified healthcare professional if you are unsure whether an activity is suitable for you, and follow reasonable safety instructions during the tour.
Where a specific safety concern arises, we will assess it individually and consider suitable adjustments or alternatives before deciding whether we can accept your booking or whether you can participate in an activity. We will explain the reasons for our decision. A disability or medical condition will not, by itself, be grounds for refusal.
Please contact us before sending sensitive health information so we can explain how to provide it securely.
12. Responsibility & Liability
Natural 20 Tours is the organiser of your package. We arrange accommodation, transport and experiences through local suppliers and remain responsible for the performance of the services included in your booking, whether provided directly by us or by those suppliers.
If an included service is not provided as agreed, please tell your Tour Manager or contact us as soon as reasonably possible so we can address the problem. We will put it right unless doing so is impossible or would involve disproportionate costs, taking account of the problem and the value of the affected service.
Where a significant part of your package cannot be provided as agreed, we will offer suitable alternative arrangements at no extra cost where required by law. Your rights may include an appropriate price reduction, reimbursement of necessary expenses, cancellation or compensation, depending on the circumstances.
Please follow reasonable safety instructions from our team and activity providers, and take reasonable care for your own safety and that of others. Taking part in an activity does not waive your statutory rights.
Our liability is subject to the exceptions and limits permitted by applicable law. Nothing in these terms excludes or limits liability where doing so would be unlawful, or removes your rights under applicable package travel or consumer law.
13. Behaviour & Group Safety
We value respectful, inclusive and responsible travel. Please treat fellow travellers, Game Masters, our team and local communities with respect, follow reasonable safety instructions and comply with local laws.
Harassment, discrimination, threats, violence and behaviour that endangers others or seriously disrupts the group are not acceptable.
Where safe and appropriate, we will explain the concern and give you an opportunity to change your behaviour. Serious misconduct or an immediate safety risk may require removal from an activity or the tour without a prior warning.
Any action we take will be proportionate to the circumstances. We will explain our decision, and you may request a review by contacting keith@upbeattours.com.
If your participation ends because of serious misconduct, you may be responsible for reasonable additional costs resulting from your behaviour, where permitted by law. Any refund for unused services will be assessed in light of the circumstances, applicable law and costs saved or recovered. Removal does not automatically mean that all payments are forfeited.
We will continue to provide any assistance required by law. If you intentionally or negligently cause the difficulty requiring assistance, we may charge a reasonable fee that does not exceed our actual costs.
Nothing in this section limits your statutory rights or excludes responsibility for our own failure to provide the package as agreed.
14. Data Protection
Keith Kelly trading as Natural 20 Tours is the data controller for personal information we process in connection with your booking.
We process personal information in accordance with applicable data-protection law to administer and deliver your booking, communicate with you, and meet our legal and accounting obligations. We retain it only for as long as necessary for these purposes, including handling complaints or claims.
Where necessary, we share relevant information with accommodation providers, transport providers, activity providers, our booking and payment platform, and other service providers involved in administering or delivering your booking. We may also disclose information where required by law.
Where we rely on consent for marketing or promotional photography, we will request it separately. Accepting these booking terms does not itself give that consent.
For privacy enquiries, please contact keith@upbeattours.com.
15. Governing Law and Jurisdiction
These Terms & Conditions and your booking contract are governed by Irish law. This does not deprive you of any mandatory consumer protections that apply to you under the law of your country of habitual residence.
The Irish courts have non-exclusive jurisdiction over disputes arising from your booking. Nothing in these terms restricts any right you may have under applicable law to bring proceedings in another court, including the courts of your country of residence.
16. Validity and Updates
These Terms & Conditions apply to bookings made on or after 1 October 2026, until replaced by a newer version.
We may update these terms for future bookings. The version you accept when making your booking will apply to your contract. Publishing an updated version on our website does not automatically change an existing booking or remove rights previously agreed.
We will provide a copy of the applicable terms with your booking confirmation.
Version dated 1 October 2026.
